On the POS Main Screen you will notice a new button named “Manage Gift Card”.
Upon pressing it you will be taken to a screen showing the following buttons:
Activate New Card
1. After pressing the “Activate New Card” button you will be taken to a screen prompting you to enter the amount to be added to the card. If this is a card with a defined amount on its face, you will key in that amount. If it is a card with an undefined amount on the face, you will key in the amount requested by the customer.
2. You will next be taken to a screen verifying the amount to be added to the card. If the amount is correct, hit the “Tender Payment” button. If the amount is incorrect hit “Close” and go back to #1 above.
3. After hitting “Tender Payment” you will be prompted to swipe the Gift Card to activate it. If the card is unable to be swiped you can hit the “Cancel” button and you will be taken to another screen which will allow you to manually key in the number on the back of the Gift Card.
4. Next you will be taken to the Payment Screen where you will choose the form of payment and complete the sale as usual.
Add Money to Existing Card
1. After pressing the “Add Money to Existing Card” button, you will be taken to a screen prompting you to enter the amount to be added to the card.
2. You will next be taken to a screen verifying the amount to be added to the card. If the amount is correct, hit the “Tender Payment” button. If the amount is incorrect hit “Close” and go back to #1 above.
3. After hitting “Tender Payment” you will be prompted to swipe the Gift Card to activate it. If the card is unable to be swiped you can hit the “Cancel” button and you will be taken to another screen which will allow you to manually key in the number on the back of the Gift Card.
4. Next you will be taken to the Payment Screen where you will choose the form of payment and complete the sale as usual.
Get Balance
1. After pressing the ”Get Balance” button, you will be taken to a screen prompting you to swipe the card. After hitting “Get Balance” you will be prompted to swipe the Gift Card to activate it. If the card is unable to be swiped you can hit the “Cancel” button and you will be taken to another screen which will allow you to manually key in the number on the back of the Gift Card.
2. After swiping the card wait for a moment and the balance will show on your screen.
3. Touch the message to make it go away and go on to other functions.
DeActivate Card
1. After pressing the ”DeActivate Card” button, you will be taken to a screen prompting you to swipe the card.
2. A confirmation message will appear showing that the card has been deactivated. NOTE: If there is a balance on the card then you will receive a message saying that the card may not be deactivated until the entire balance is used.
Close
1. Press this button to go back to the POS Main Screen.
FAQ – Frequently Asked Questions
1. Do associate purchase discounts and/or senior citizen discounts apply to gift card purchases?
---No, only on a sale where you redeem all or part of the balance of a gift card .
2. What should I do if a Gift Card swipe cannot be recorded? How do I enter a card number manually?
---Press "Cancel" when it asks you to swipe the gift card and then simply enter the number from the back of the card.
3. Will the manual entry work for credit cards too?
---Yes.
4. What happens if you do a refund for a sale that was made using a gift card?
---The monies will be placed in cash. Be careful, a savvy customer will use this to convert the value of a card into cash. You can always refund to cash, then apply that cash refund to an existing or new gift card, albeit, in two separate transactions.
5. Can I use gift cards instead of vouchers?
---Yes, however, as above in # 4, it requires two transactions.
6. What happens to gift Certificates?
---Continue to redeem outstanding Gift certificates, but do not issue new ones. In fact, auditors will be picking up and accounting for any un-issued gift certificates from your store.
7. If a Gift Card is totally used, what should we do with the card?
---Many choices... The customer can keep it, you can deactivate and return it for sale for a second use, deactivate and destroy it, etc. We will most likely develop a policy regarding this at some point in the future, please look back for this item to possibly change.
8. Cards labeled $100 and $50; Are they preloaded?
---No. This is simply a marketing instrument. In fact, they are no different then any other card except for the printing. You will still need to activate the card with some amount (not necessarily $100/$50, it can be any amount in fact). Watch for theft of these cards in particular. If you see a $100 or $50 card that is being attempted to be used and the system tells you the card is not an active card. Please alert IT. We can confirm whether the card is active or not, also, review the video capture of this individual. Loss prevention can possibly use this information.
9. Can I activate or redeem multiple cards in a single transaction?
---Not at this time. You must activate each card in a single transaction. Similarly, when a customer wants to purchase merchandise using several cards, you will need to divide the merchandise such that it will have a total close to the balance on each card and then ring the merchandise up separately.
10. How do I add a gift card purchase along with other items?
---You can't. Gift card activations are done as a separate transaction.
11. Do I need to be in manager mode to sell or redeem a gift card?
---No. Nothing about gift cards require manager mode.
